Job Description
SUMMARY
Runs an efficient and profitable service department through productive staffing, customer retention, cost controls, achievement of objectives, and maintenance of all service records. Ensures the daily inventory of technician's time is consistently sold to service customers.
DUTIES AND RESPONSIBILITIES
Management
1. Works with upper management to develop annual Forecasts goals and objectives for the department
and strives to meet them.
2. Assists in employment activities (i.e. interviews, hires, trains, motivation, scheduling, directives,
monitors and evaluates the performance of all night service department staff in a positive teamwork
environment.
3. Assists management with maintaining reporting systems required by general management and the
factory, while controlling the performance of the department using appropriate reports, tracking
systems and surveys.
4. Works with upper management to develop and implement a marketing plan which promotes and
encourages new, referral and repeat business.
5. Understands, keeps abreast of, and complies with federal, state, and local regulations that affect
service operations, such as hazardous waste disposal, OSHA Right-to-Know, company policy and
maintains a safe working environment.
6. Approves all add-on sales and repair orders before submitting them to the technicians,
monitoring for sales and hours relative to expectations, as required.
7. Establishes and maintains good working relationships with vocational and technical schools to
enhance personnel recruitment activities.
Process
1. Understands and ensures compliance with manufacturer warranty and policy procedures.
2. Assists with rental and loaner fleet program management.
3. Accounts for all documents and ensures all documents are processed correctly.
4. Monitors daily productivity reports and corresponding payroll records; keeps repair techs informed of
time allowances on each repair order.
5. Monitors and follows up on parts orders with the parts manager to ensure availability.
6. Maintains high-quality service repairs and minimizes comebacks. Conducts periodic spot checks of
completed jobs for thoroughness and quality.
Housekeeping
1. Keeps abreast of new equipment and tools available and recommends purchases.
2.
Oversees general grounds
maintenance by doing periodic audits.
Customer Service
1. Ensures all customers are greeted promptly and given fair estimates on costs and time required
for repairs and maintenance, handles customer complaints immediately; establishes and maintains
follow-up will all customers to confirm satisfaction with the service experience.
Performs other duties as assigned.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES
1. At least four years related experience and/or training in service and/or parts related;
or equivalent combination of education and experience; supervisory or management experience
a plus.
2. Effective interpersonal, written and oral communication skills and effective computer skills.
3. Ability to define problems, collect data, establish facts, and draw valid conclusions with a high
mathematical aptitude to calculate figures and amounts (i.e.discounts, interest, commissions, etc.).
4. Manufacturer training preferred.
5. Valid Driver's License, acceptable driving record and at least 18 years of age required to drive
company or customer vehicles.
PHYSICAL DEMANDS
1. The employee is regularly required to talk and hear; frequently required to stand and walk;
and occasionally required to sit, reach with hands and arms, smell and use hands to finger, handle,
or feel.
2. The employee must occasionally lift and/or move up to 50 pounds.
3. Specific vision abilities required by this job include close vision, distance vision, color vision,
peripheral vision, depth perception, and ability to adjust focus.
4. Able to work a consistent and predictable schedule as determined by business conditions and
management.
WORK ENVIRONMENT
1. Frequent exposure to moving mechanical parts, fumes or airborne particles & occasionally exposed to
outside weather conditions and vibration.
2. The noise level in the work environment is usually moderate. (Use of ear and eye protection required
when in shop area.)
